Job Description

Support Contracts from Proposal Through Post-Award Administration

As an Associate Contracts Administrator at Kitware, you’ll support government and industry contracts throughout the contracting lifecycle. Your work will include preparing proposals, administering contracts, processing modifications, and completing post-award reporting requirements.

You’ll collaborate with project managers, technical professionals, finance and business development colleagues, auditors, subcontractors, collaborators, customers, and vendors. Kitware works with organizations ranging from startups and Fortune 500 companies to government agencies and academic laboratories worldwide.

This position offers the opportunity to contribute to a wide variety of contracting activities while helping Kitware submit high-quality proposals, meet its contractual obligations, and build lasting relationships with customers and collaborators.

What You'll Do

- Assist with preparing proposals in response to solicitations.

- Coordinate with subcontractors to obtain proposal information, including pricing.

- Prepare and distribute instructions to internal colleagues regarding contract requirements.

- Help monitor projects to ensure contract actions are processed promptly.

- Administer contract modifications.

- Complete required post-award administrative reports.

- Maintain close contact with customers and collaborators and help foster long-term business relationships.

- Serve as a point of contact for external organizations and internal colleagues regarding proposal- and contract-related activities.

- Maintain contract documents and enter information into Kitware’s contract management system.

- Complete other assignments as required by management.

What We’re Looking For

- A bachelor’s degree.

- Strong communication, text-analysis, and research skills.

- Proficiency with Microsoft Word, Excel, and PowerPoint, along with the ability to learn Kitware’s internal systems.

- Strong organizational skills and the ability to manage multiple responsibilities and priorities.

- The ability to work independently and collaboratively.

- Ability and willingness to work in the office a minimum of three days per week.

- Due to contractual requirements, only US citizens will be considered for this position.

Preferred Qualifications

- A bachelor’s degree in humanities, business, or a related field.

- Experience with Google Docs.

- Familiarity with contracting principles and legal terms and conditions.

- One year of demonstrated experience working in a professional environment.
